What Are Japanese Immigration Entry and Exit Records?
The Immigration Services Agency maintains certain official records of immigration clearance for people entering and departing Japan. A personal information disclosure request, known as a Shutsunyukoku Kiroku Kaiji Seikyu (出入(帰)国記録の開示請求), is a way to request disclosure of information relating to yourself.
Missing passport stamps
You used automated gates, renewed your passport or no longer have old travel documents.
Previous residence in Japan
You once studied or worked in Japan and need to reconstruct periods spent inside and outside the country.
Permanent residence or citizenship preparation
You want to organize departure and return dates while preparing immigration or nationality-related paperwork.
Requests from overseas
You no longer reside in Japan and prefer to appoint an authorized representative to handle the Japanese filing.
Can Someone in Japan Request Your Records?
Yes, where the relevant legal conditions are met. ISA allows disclosure requests by the person concerned, a qualifying legal representative, or an authorized voluntary representative. Our office can review the documents and submit an eligible request as a voluntary representative.
| Issue | What overseas applicants should know |
|---|---|
| Authorization | An original power of attorney generally dated within the 30 days before the request is required for a voluntary representative. |
| Proof of identity | Specified evidence confirming the principal's identity must accompany the authorization; acceptable documents depend on ISA's rules and your circumstances. |
| Overseas mailing | For an authorization mailed from abroad, ISA asks for evidence of international dispatch, such as postal packaging showing the mailing date or delivery records. |
| Representative's documents | The representative prepares their own identification, and, for postal filing, the additional residence documentation required by ISA. |
| Changed name or nationality | Evidence linking your old and current personal details may be necessary, for example after marriage or naturalization. |
Our Overseas Request Process
Describe the records you need
Tell us your nationality, country of residence, former names, approximate years in Japan and the purpose of the request. Do not email sensitive ID images before receiving instructions.
Confirm eligibility and quotation
We check whether this is the correct record type, the request period and any obstacles such as name changes or missing identification.
Prepare and send authorization papers
We provide directions for the original power of attorney, necessary identity evidence and international shipping proof. Timing is important because authorization documents have validity requirements.
Submit to Japan's Immigration Services Agency
Our office prepares the request for the ISA disclosure desk, with the official revenue-stamp fee and required response postage.
Receive and review the response
After ISA completes its decision and disclosure procedure, we coordinate delivery and any separately commissioned travel-day calculation. Secure electronic delivery or overseas forwarding, where available, is confirmed individually.
Fees and Optional Travel-Day Calculation
| Service | Professional fee |
|---|---|
| Official entry/exit records disclosure request | ¥24,200 (tax included) |
| Days-outside-Japan calculation, together with request | Additional ¥12,100 (tax included) |
| Request + travel-day calculation | Total ¥36,300 (tax included) |
| Travel-day calculation only, from records already obtained | ¥16,500 (tax included) |
| ISA disclosure request fee | ¥300 per request (separate from our fee) |
Postal charges, international delivery, certificates, translations and other necessary expenses are additional where applicable. We explain any extra costs before accepting your instructions.
When Will the Records Arrive?
The law generally provides a 30-day period for a disclosure decision after a valid request, but this is not a promise that copies will arrive within 30 days. Extensions may occur, and ISA currently warns that a high volume of applications is causing delays.
Where is the request filed?
Immigration Services Agency, General Affairs Division, Immigration Information Disclosure Section, Yotsuya Tower 13F, 1-6-1 Yotsuya, Shinjuku-ku, Tokyo 160-0004, Japan. Filing is possible by post or at the designated counter. Government telephone: 03-5363-3005 (weekdays, 9:00–17:00 JST).
Frequently Asked Questions
Can I request Japanese entry/exit records after leaving Japan permanently?
Yes, a request may be possible even when you reside abroad. Eligibility, identity evidence and original authorization documents must be checked first.
Can your office act as my proxy in Japan?
Yes, for an eligible case with a valid power of attorney and supporting identification. We confirm the required materials before proceeding.
Is a scanned signature or emailed power of attorney enough?
Normally no. ISA requires an original authorization created within the prescribed period. If mailed from overseas, international dispatch evidence is also requested.
Can I use only a passport photocopy?
Do not assume so. ISA has specific identity requirements for a voluntary representative's request. We review which documents can support your case.
Can you find every country I visited?
No. These are Japanese immigration records, not a complete worldwide travel log. Some categories of travel do not generate the relevant Japanese clearance record.
What if my name or nationality changed?
Additional evidence may be needed to connect your current identity to records held under an earlier name or nationality.
Can you calculate how many days I was outside Japan?
Yes, as an optional service based on the disclosed dates. It does not guarantee any immigration or naturalization decision.
Will I receive the records in English?
The Japanese government disclosure is not an English translation service. Any translation or explanatory work must be discussed separately.
Can I receive a PDF rather than international post?
The government disclosure procedure and the handling of personal data determine available delivery options. We will confirm what delivery or forwarding method can be provided before engagement.
Will it take only 30 days?
No fixed delivery date is guaranteed. The statutory period generally concerns the decision, may be extended, and does not include all mailing time.
