What is the Researcher status of residence in Japan?
Japan's "Researcher" (研究 / Kenkyu) status of residence covers activities involving research conducted under a contract with a public or private organization in Japan. Activities that fall under the separate "Professor" status are excluded.
| Item | Overview |
|---|---|
| Official status | Researcher (研究) |
| Typical host organizations | Private-sector research laboratories, corporate research centers, eligible public research institutions and similar organizations |
| Main activity | Performing research under a qualifying contract with an organization in Japan |
| Permitted periods of stay | 5 years, 3 years, 1 year or 3 months, as determined by immigration authorities |
| Application types | Certificate of Eligibility (COE), change of status, extension of period of stay, and other applicable procedures |
"Scientist," "Research Fellow," "R&D Engineer" or "Postdoctoral Researcher" does not automatically mean Researcher status. The actual work, type of host institution and contractual arrangement must be examined.
Who may need a Japan Researcher visa?
Not every laboratory role is eligible. Routine manufacturing, general clerical work, unrelated activities and some product engineering positions may require a different immigration analysis.
Eligibility requirements: education, research experience and salary
For research at an ordinary private-sector host, Japan's landing-permission criteria generally require the researcher to meet the relevant education or research-experience standard and receive remuneration at least equivalent to that of a Japanese national performing comparable work. The exact criteria may differ for contracts with certain public or statutorily designated organizations.
Master's degree or three years of research experience
One general route concerns applicants who have graduated from a university (other than a junior college), received equivalent education or completed an eligible specialized course in Japan, and who have a relevant master's degree or at least three years of research experience in the intended field. Time spent conducting research in graduate school may be counted where permitted.
Ten years of research experience
Another route concerns applicants with at least ten years of research experience in the intended research field. Eligible periods of research undertaken at university may be counted. The evidence must demonstrate genuine, relevant research activity.
No. A doctoral degree is not universally required. However, having a degree alone does not establish that the proposed activity, contract, remuneration and receiving organization satisfy the immigration rules.
Comparable remuneration
Where the ordinary remuneration criterion applies, pay must generally be at least equivalent to that received by Japanese nationals for comparable work. We review the employment or research agreement, base salary, allowances and other relevant remuneration details.
Special rules for certain public research organizations
The landing-permission criteria contain exceptions for research under contracts with certain government bodies and specifically defined public organizations. Whether an institution qualifies must be checked from its legal status and the applicable rules; "public" in its name is not enough.
Researcher vs. Professor, Engineer and Cultural Activities
The right status depends on the substance of the activities, not simply whether the applicant has a scientific background.
| Status of residence | Activities to consider |
|---|---|
| Researcher (研究) | Research performed under a contract with an appropriate public or private institution in Japan, excluding Professor activities |
| Professor (教授) | Research, research guidance or education at Japanese universities, equivalent institutions or colleges of technology |
| Engineer/Specialist in Humanities/International Services (技術・人文知識・国際業務) | Specialized engineering, design, technical development and other qualifying professional duties that do not fall within a separately specified status such as Researcher |
| Cultural Activities (文化活動) | Certain academic research or cultural activities without income-generating activity; funding and activity details must be reviewed |
| Highly Skilled Professional (高度専門職) | Qualifying advanced academic research activities, subject to the applicable points and other criteria |
Research at a Japanese university can fall under "Professor" even if the person does not hold the job title of professor. Visiting researchers without employment income may require a different status. Scholarships and research fellowships need individual assessment; their labels alone do not decide whether a payment is remuneration.
Documents for a Researcher visa application
Documents vary according to the application type, the host organization's category and the applicant's circumstances. The following are common items to review, not a universal mandatory checklist.
| Document category | Examples |
|---|---|
| Identity and immigration | Application form, compliant photograph, passport and, when applying inside Japan, residence card |
| Education and research history | Degree or graduation certificate, CV, research-employment certificates, research history and relevant publications where useful |
| Proposed research | Research topic, methods, schedule, job description, responsibilities and research organization |
| Contract and pay | Employment or other qualifying contract, working conditions, appointment letter and remuneration details |
| Host organization | Corporate registration, organization profile, business or research description, financial/tax documents and evidence of the applicable institutional category |
| Overseas transfer, if relevant | Transfer order, evidence of qualifying overseas research duties and duration, and records of the relationship between foreign and Japanese establishments |
Foreign-language documents submitted to immigration generally require a Japanese translation. Documents issued in Japan generally must be recent as specified by the authorities. Additional documents may be requested during examination.
Categories 1–4 of the host organization
Japanese immigration categorizes accepting organizations based on factors such as their legal characteristics and withholding-tax records. A listed corporation or certain public institution may fall into Category 1; smaller or newly established organizations may fall into Categories 3 or 4. The category affects supporting-document requirements.
For Researcher applications submitted on or after April 15, 2026, the Immigration Services Agency requires an additional declaration concerning the representative of the affiliated organization for Categories 3 and 4. We check the current official forms and requirements for each case.
How to bring a researcher to Japan: COE application process
For an applicant currently overseas, the usual starting point is a Certificate of Eligibility (COE) application in Japan. A COE is distinct from the entry visa issued by a Japanese embassy or consulate.
We review the research duties, hiring arrangement, planned start date, relevant research history and whether Researcher is the appropriate status.
The Japanese organization and researcher prepare the necessary contractual, academic, research and institutional documents.
We assist with forms and supporting explanations and confirm the competent immigration office and available submission method for the case.
After COE issuance, the applicant follows the procedures of the Japanese embassy or consulate with jurisdiction over their place of residence.
Upon arrival, the applicant must satisfy landing requirements and follow the conditions of their granted status of residence.
COE issuance does not guarantee visa issuance or permission to land in Japan. Examination periods vary, and researchers should avoid making non-refundable arrangements solely on the assumption that approval will be granted.
Already in Japan? Change or extend your status
Changing to Researcher status
A graduate student hired by a private research laboratory, or a foreign national moving from another permitted activity into research, may need an application for change of status of residence. The new activity should not begin before the required permission is granted.
Extending Researcher status
Researchers continuing qualifying work should review their current contract, research activities, period of stay, remuneration and any change of employer. Extensions can generally be requested approximately three months before expiry where the current period is six months or longer.
Changing employers or research duties
A move to a different institution may trigger a notification requirement and can require a review of whether the existing status still permits the new activities. The appropriate procedure depends on the actual change; an extension alone does not automatically resolve a change of immigration category.
If you have an offer from a Japanese company or research institution, send us the proposed duties, current residence status, expiration date and relevant academic background through our inquiry form.
Transferring a researcher from an overseas R&D office
Researchers transferred for a fixed period from an overseas office to a qualifying establishment in Japan may be eligible for a special exception to the ordinary education and research-experience criterion. The rules generally examine whether the applicant performed qualifying research duties at the foreign establishment continuously for at least one year immediately before the transfer, together with the relevant organizational relationship and other requirements.
This does not automatically remove the comparable-remuneration requirement, nor does it mean every intra-company transfer must use the "Intra-company Transferee" status. Research duties may belong under "Researcher" rather than that separate status.
Our professional fees
The following are the published starting fees of Masanobu Kawagoe Administrative Scrivener Office. All amounts include Japanese consumption tax.
| Service | Professional fee |
|---|---|
| Certificate of Eligibility (COE) application — Researcher | From ¥110,000 (tax included) |
| Change to Researcher status of residence | From ¥110,000 (tax included) |
| Standard extension without significant change in employment or duties | From ¥44,000 (tax included) |
| Extension involving a change of employer or similar material changes | From ¥110,000 (tax included) |
Professional fees are separate from government permission fees, translations, certificate procurement, postage and other applicable expenses. The final quotation depends on the scope and complexity of the application.
Immigration government fees
A standard COE application itself generally has no immigration filing fee. For approved changes of status and extensions, government permission fees apply. Under the fee system effective for applications accepted on or after October 1, 2026, the amount depends on the period of stay granted and the application method. Online applications use designated convenience-store or bank payment procedures; separate processing fees may apply. Please refer to the official fee revision information for the applicable amount.

Frequently asked questions
Can I apply for a Researcher visa without a PhD?
Possibly. A PhD is not mandatory in every case. Depending on the circumstances, a relevant master's degree, qualifying research experience, the ten-year experience route or a statutory exception may be applicable. The host contract and other requirements also matter.
Can a Japanese company hire a foreign scientist under Researcher status?
Yes, a qualifying research position under a contract with a Japanese private organization can fall within Researcher status. We review the actual research duties, the applicant's background and the company's eligibility and documentation.
Is Researcher the correct status for a university postdoc?
Not necessarily. Research carried out at Japanese universities or equivalent institutions may fall under Professor status even if the employee's job title is postdoctoral researcher rather than professor.
Does AI or semiconductor R&D always qualify as Researcher work?
No. Genuine research activities may qualify, while engineering, product design or software implementation may fall under Engineer/Specialist in Humanities/International Services. The title of the department alone is not decisive.
Can graduate-school research count as research experience?
It may count toward the relevant experience criteria where the law allows. Records describing the actual research period and subject area are important.
Can a foreign group-company researcher transfer to Japan?
Possibly. Certain qualifying fixed-term transfers have a special rule for the ordinary education and research-experience criterion, subject to overseas research-duty history and organizational requirements. The intended work and remuneration still require review.
Can I apply from outside Japan?
Yes. For long-term work, a COE application is generally prepared in Japan with the receiving organization, followed by a visa application at the appropriate Japanese embassy or consulate overseas.
Do all applicants need the same supporting documents?
No. Document requirements depend on the type of application, the category of the receiving institution, and factors such as overseas transfer or a change of employer. Immigration may request additional information.
Can my spouse and children accompany me?
A spouse and eligible dependent children may be able to apply for "Dependent" status, subject to the applicable conditions, family relationships and financial support. Their applications are separate from the researcher's application.
How long will the application take?
Processing times vary by immigration office, application category, submission quality and case-specific circumstances. We recommend beginning preparations well before the proposed start date and will not guarantee a decision by a particular date.
Can I contact your office in English?
Yes. English-language inquiries from researchers, employers and research institutions are welcome. Please share the intended position, start date, current location, nationality, academic qualifications and research background through our inquiry form.
