Multilingual front desk
Review actual interpretation, cross-cultural guest relations and language-centered specialist duties.
Have an offer to work at a Japanese hotel, ryokan or international accommodation facility? The right residence status depends on what you will really do. Foreign-language guest relations, interpretation, marketing and specialist front-desk services may qualify for Engineer / Specialist in Humanities / International Services, while other hotel jobs may fit Specified Skilled Worker (Accommodation) or another category. We help applicants and hotels distinguish these routes.

Review actual interpretation, cross-cultural guest relations and language-centered specialist duties.
Examine tourism marketing, overseas reservations strategy and professional sales roles.
Compare residence categories and build a duty breakdown before hiring.
The Engineer/Specialist status is not a general visa for all front-desk staff. The application must establish specialized knowledge or qualifying services based on foreign culture under a Japanese organization contract. Immigration has published specific clarification guidance for foreign workers at hotels and inns, revised in April 2026.
Interpretation, translation, complex foreign-guest support and culturally grounded communications.
Tourism-market research, foreign travel agency relations, overseas promotions and planning.
Mainly standard reception processing, cleaning, baggage handling or restaurant service may require another status.
| Residence route | Typical use | Major limitation |
|---|---|---|
| Engineer / Specialist in Humanities / International Services | Genuinely specialist marketing, planning, translation/interpretation or qualifying culturally grounded front-desk work. | Education or relevant experience; actual specialized duties; language evidence in applicable cases. |
| Specified Skilled Worker (Accommodation) | Eligible guest service, front desk, hospitality planning, and restaurant service in qualifying lodging facilities. | Specified Skilled Worker field examinations / language and receiving-organization rules; tasks and facility eligibility. |
| Designated Activities No. 46 | Certain graduates of Japanese universities meeting the specified Japanese-language and educational conditions; relatively broader qualified work. | Not a general route for overseas graduates; specific applicant and employer conditions. |
| Unrestricted residence status | Permanent Resident, certain spouse or long-term residence statuses may permit a broader range of hotel activities. | The person must genuinely hold the relevant unrestricted status. |
| Typical hotel activity | Important immigration analysis |
|---|---|
| Interpreting complex foreign guest requests | Explain actual language use, frequency, professional responsibility and the qualifying international-services basis. |
| Translated hotel guides and travel communication | Specify content adaptation and translation duties rather than merely greeting guests. |
| Overseas market strategy and tourism promotion | Describe research, international channel contracts, campaigns and planning. |
| Standard check-in/check-out and telephone transfer | May be part of an overall qualifying role but routine procedures alone can be insufficient. |
| Regular room cleaning, bed-making and laundry | Generally not appropriate as the principal Engineer/Specialist job. |
| Serving meals and clearing tables | Generally not appropriate as the principal Engineer/Specialist job. |
| Training rotation during onboarding | Check official rules for time-limited practical training; do not use “training” to disguise an ongoing service role. |
From April 15, 2026, certain Engineer/Specialist applications for category 3 and 4 receiving organizations require CEFR B2-equivalent evidence in the language used at work when the main job is interpersonal services based on language ability. The Immigration Services Agency expressly names hotel front-desk and reception work among examples.
A role requiring professional tourism planning, management or humanities knowledge can be assessed through the related-university-education route or generally ten years of relevant professional experience. Work genuinely based on foreign culture may be assessed as international services, often with a separate three-year relevant career condition. The classification depends on the duties, not the hotel label.
| Background | What to review |
|---|---|
| Tourism, hospitality management or business university degree | Coursework connected to professional hotel marketing, planning or guest-relations responsibilities. |
| Foreign language or international relations degree | Connection to real interpretation, communications, overseas guests or international promotion. |
| Prior hotel reception experience | Precisely what duties and languages were used; routine desk work is not automatically qualifying experience. |
| No university degree | Evaluate a legally appropriate experience route or the independent SSW Accommodation pathway. |
| Japanese university graduate | Consider whether Designated Activities No. 46 is relevant, if its extra conditions are met. |
| Employee | Hotel / ryokan employer |
|---|---|
| Degree and transcript or proof of relevant professional experience. | Offer/contract, wages and hours; role description with realistic duty proportions. |
| Language qualification when required for the application. | Receiving organization category and prescribed documents, including representative declaration for applicable category 3/4 cases. |
| Passport, residence status and immigration forms. | Lodging business profile, foreign guest demand, overseas marketing work and why specialist duties exist. |
| Employment history and translations where needed. | Training outline if practical hotel service rotations are contemplated; separate SSW requirements if that route is used. |
Businesses should document genuine foreign guest service demand instead of promising an international affairs title while assigning the employee to housekeeping for most shifts.
An Engineer/Specialist application should focus on verifiable knowledge-based or foreign-culture-based work.
Specified Skilled Worker (Accommodation) covers defined front-desk, planning, guest-service and restaurant-service activities where the relevant examinations and company criteria are met.
Do not offer one professional job on paper while intending mainly cleaning, physical or unrelated service work.
Specified Skilled Worker (Accommodation) is designed for defined practical accommodation-service activities. It may suit candidates and hotels whose planned duties do not principally meet the specialized academic or international-services criteria of Engineer/Specialist in Humanities/International Services.
| Item | General approach |
|---|---|
| Accommodation skills | Generally pass the relevant Accommodation SSW evaluation examination, unless a prescribed exemption applies. |
| Japanese-language ability | Generally JLPT N4 or JFT-Basic at the required level, subject to relevant exemptions and current requirements. |
| Hotel job | Provide accommodation services across the designated field duties; room cleaning is generally a related task, not a standalone principal duty. |
| Employment structure | Direct employment and compliance with sector requirements for the receiving organization are important. |
| Support obligations | Specified Skilled Worker (i) generally requires an appropriate support plan and its implementation by the employer or eligible registered support organization. |
| Family and stay | Specified Skilled Worker (i) has a general total five-year limit and ordinarily does not permit new dependent-family accompaniment through that status. |
Certain graduates of eligible Japanese universities or graduate-level programs, with the required high Japanese-language ability and other qualifications, may be able to work under Designated Activities No. 46. Its permitted activities can be broader than the ordinary Engineer/Specialist status where the prescribed conditions are met.
The qualification must fall within the designated Japanese educational institutions and academic credentials. An overseas degree alone does not satisfy this route.
The route generally calls for a high level of Japanese, often evidenced by JLPT N1 or BJT 480 or another prescribed basis.
Guest relations and service activities may be combined with communication and knowledge-based duties, subject to the full conditions. Simple labor alone is not the intended basis.
Distinguish language-centered specialist activities from ordinary hotel service.
Review degree, work history, language evidence and whether Engineer/Specialist or SSW fits.
Determine the required company records and 2026 representative declaration.
Guest language demand, international marketing assignments, documents and organizational charts.
COE for overseas recruits; change for eligible residents; continuation at renewal when appropriate.
Ensure the work actually performed matches the authorized category and report required changes.
Send the job description, daily duty breakdown, guest languages, hotel category and candidate education. We can help identify the appropriate status and filing requirements.
Request an English ConsultationEngineer/Specialist requires qualifying principal activity; ordinary housekeeping is a different work category.
The April 2026 work-language evidence change has category and activity conditions.
SSW Accommodation has its own field and language conditions, separate from Engineer/Specialist.
| Service | Professional fee (tax included) | Scope / exclusions |
|---|---|---|
| Engineer / Specialist COE | From ¥110,000 | New overseas employee; eligibility and employer documents. |
| Change to Engineer / Specialist | From ¥110,000 | For a qualifying applicant in Japan. |
| Ordinary extension without job change | From ¥44,000 | Standard Engineer/Specialist renewal. |
| Complex career, company or supporting statements | Individual quotation | Scope reviewed before engagement. |
| Other residence routes such as SSW Accommodation | Individual quotation | Separate application and, where applicable, support-plan requirements. |
These are starting professional fees. Government permission charges if applicable, translations, certificate procurement, postage, travel and extra supporting materials are separate. A COE application ordinarily has no immigration filing fee. Where a matter falls outside administrative scrivener scope, a separately qualified professional may be required. We provide a quotation before engagement.
Yes, potentially, but the appropriate residence status depends on actual duties and qualifications. Some front-desk work may qualify under Engineer/Specialist; other roles may fit Specified Skilled Worker Accommodation.
No. Routine front-desk processing alone is not automatically specialist work. Genuine international communications, translation or other qualified duties must be assessed.
Housekeeping should not be the principal work for an Engineer/Specialist hotel position. Occasional ancillary tasks must be assessed in context.
Restaurant service as the main job is generally outside Engineer/Specialist. SSW Accommodation has different designated duties.
Certain category 3/4 language-centered interpersonal applications require B2-equivalent evidence in the language used. This does not mean universal JLPT N2 for every applicant.
The required language is the language actually used for the relevant interpersonal work. Check the accepted evidence and the hotel category in the official instructions.
A recognized university education reasonably related to professional hospitality or tourism duties may help. The exact tasks still matter.
There is no generic Ryokan Staff residence category; Engineer/Specialist, SSW Accommodation and other routes have different conditions.
Possibly, if you and the receiving hotel meet the sector exams, language, employment and business standards.
Potentially, if the person meets the specified academic and Japanese-language criteria and the actual work and employer satisfy that separate status.
Mixed duties may be acceptable if the main activities qualify and are accurately documented. The real work distribution is important.
It needs a credible business rationale and actual specialist work volume. The authority evaluates reality rather than a proposed job title.
No. The actual specialized work, your academic or qualifying career background, the Japanese contracting organization and appropriate remuneration must meet immigration requirements.
Our Engineer / Specialist in Humanities / International Services professional fee starts from ¥110,000, including tax. Government charges where relevant and out-of-pocket expenses are separate.
No universal fixed annual salary applies to every Engineer/Specialist position. In general, remuneration must be at least equivalent to a Japanese national doing comparable work.
A qualifying Japan-side organization can generally prepare a COE application for an overseas candidate. Visa issuance by the relevant consulate, if applicable, is a separate process.
Room cleaning is generally an associated task under the accommodation field, not the principal work for which the status is designed. The actual overall job should match the designated field duties.
The receiving organization must meet the sector and employment requirements and implement an appropriate support plan, directly or through a qualified registered support organization where permitted.
