Who Should Contact Us?
What Does the “Professor” Status Permit?
Japan's Professor residence status covers research, research supervision or education at a Japanese university, an equivalent institution or a college of technology. It is not reserved for people whose job title literally says “Professor.” The receiving institution, actual duties, appointment terms and financial arrangements matter.
Activities potentially covered
University courses, graduate supervision, university-based research, and other qualifying academic duties carried out at an eligible institution.
When a different status may apply
Corporate R&D can involve Researcher status; teaching at a school outside the university sector may involve Instructor status. Unpaid academic activity can require consideration of Cultural Activities, and short lectures may raise Temporary Visitor questions.
Full-Time vs. Part-Time: Different COE Document Categories
The Immigration Services Agency (ISA) distinguishes Category 1 for full-time university personnel and Category 2 for part-time university personnel in Professor COE applications. For Category 2, a document prepared by the university or another relevant institution must show the applicant's academic activities, period, position and remuneration.
| Item | Full-time / Category 1 | Part-time / Category 2 |
|---|---|---|
| Examples | Full-time faculty member at an eligible university | Part-time lecturer or qualifying visiting appointment |
| Basic COE documents | Prescribed COE form, photo and return envelope or applicable filing arrangements | Prescribed COE form, photo and return envelope or applicable filing arrangements |
| Additional key evidence | ISA states that other materials are generally unnecessary for Category 1 | University/institutional statement of activities, duration, position and remuneration |
| Practical review | Employment terms, academic role, department and appointment dates | Course schedule, teaching hours, appointment, honorarium and payment method |
This is the official COE category distinction. Change-of-status and extension applications have their own requirements, and immigration may request additional evidence during examination.
What Should the University's Invitation Letter Say?
A clear university appointment letter, commissioning document or contract can help show the proposed duties. For part-time applicants, the official requirement is evidence of activity, duration, position and remuneration; the precise supporting format depends on the case.
Institution and academic role
Payments and overseas ties
Short Visits, Unpaid Appointments and Multiple Universities
Short course or invited lecture
A brief lecture or symposium visit may be assessed under Temporary Visitor rules, depending on the actual duties, compensation, timing and other circumstances. Staying fewer than 90 days does not automatically make paid teaching permissible as a visitor.
Unpaid visiting scholar
For unpaid scholarly activity, Cultural Activities or another route may be more suitable in some cases. Consider the precise research activity, financial support and whether remunerated teaching will occur.
Retaining an overseas appointment
An academic may stay employed by a foreign university while visiting Japan. We review dispatch evidence, the Japanese host's appointment, salary sources and where the work is actually performed.
Teaching at multiple universities
List each university, teaching contract, dates and compensation. Activities under the same residence category are not automatically a prohibited side job, but notification and any other permission requirements must be assessed case by case.
How to Apply from Outside Japan
Review the invitation
Tell us the Japanese host university, the academic's nationality and location, appointment type, activities, dates and compensation.
Confirm the immigration route
We assess Professor Category 1 or 2, or consider Temporary Visitor, Cultural Activities and other categories where appropriate.
Prepare Japanese and overseas documents
We help review appointment letters, relevant university certificates, passport details and any extra activity or remuneration explanation. Foreign-language documents submitted to ISA generally require Japanese translations.
Submit the COE application where eligible
For a qualifying overseas invitation, we coordinate submission through a lawful applicant or application intermediary and respond to additional document requests within the agreed scope.
Visa and travel to Japan
After COE issuance, the academic generally applies for a visa at the relevant Japanese diplomatic mission and undergoes immigration examination on arrival. Neither visa issuance nor entry is guaranteed by a COE.
Changes, Extensions and University Notifications
For scholars already living in Japan, a change of residence status may be needed if the permitted activity changes. Existing Professor status holders who continue teaching or research may apply for an extension. A change from full-time to part-time appointment can require further institutional evidence.
When a full-time Professor status holder becomes part-time and applies to extend the period of stay, ISA specifically calls for an additional document certifying the academic activities, period, position and remuneration.

Frequently Asked Questions
Does every visiting professor qualify for Professor status?
No. The appointment title alone is insufficient. We review the qualifying university institution, actual education or research activities, duration and financial arrangements.
Can a part-time lecturer receive a Professor COE?
Potentially yes. ISA has an explicit Category 2 for part-time university personnel and requires institutional evidence of activities, period, position and remuneration.
Is a simple invitation email enough?
A part-time COE application requires a document from the university or another relevant institution certifying the required details. We check whether the letter covers all of them or whether more formal documentation is needed.
What if my home university continues paying my salary?
We need to understand the Japanese appointment, duties, payment sources and ability to support the stay. Overseas salary does not automatically establish eligibility for any single immigration category.
Can an honorary or unpaid visiting professor obtain this status?
Not merely by receiving a title. Unpaid academic activities may require assessment under Cultural Activities or another status depending on the actual program and financial circumstances.
Can I give a two-week course as a Temporary Visitor?
Possibly, but it depends on the content, compensation and legal characterization of the visit. A short duration is not sufficient on its own to authorize remunerated teaching.
Can I lecture at two Japanese universities?
We review the contracts, activities at each institution and any applicable notifications or permissions. University teaching at multiple institutions is not automatically excluded, but details matter.
How long can Professor status be granted?
The published periods are five years, three years, one year and three months. The actual period is determined through immigration examination.
Can I change from Researcher or Student to Professor?
A change of status may be appropriate where the new activities fall under Professor status. We review the current status and the new university appointment before recommending an application.
Can your office work with an overseas scholar directly?
Yes. Initial consultation and document coordination can be remote. A COE must still be filed through a legally eligible Japanese applicant, agent or application intermediary.
